We have an opening for SENIOR MATERIALS CLERK” in one of the world’s most reputed Oil & Gas Operating Companies located in “Abu Dhabi”.

Experience:   6 years experience in general clerical duties with knowledge of Stores Computer system

(SAP is preferable).

 Qualification: Completion of Technical Secondary Education (12 years) or equivalent

JOB DESCRIPTION:

 

a)         Types  and  proof reads  a  variety of materials such as letters, reports, tabulations, statements, e-mail etc by using computer programmes such as Excel, Word, Access etc.

b)         Checks accuracy of Vender Invoices received from Finance with appropriate supporting documents before passing to Supervisors for initial approval and further action.

c)         Assists in the preparation of the basic data for budgeting, functions as department’s focal point for monitoring expenditures and reporting variations.

d)         Carries out the administrative jobs for the department such as prepare leave schedule and travel bookings according to Das Island leave regulations and operational requirements, receive visitors, make arrangements for meeting etc.

e)         Maintains overtime sheets for all stores employees / contracted personnel and calculates total hours worked against daily authorized records.

f)          Dispatches and collects department mail for internal distribution and passes urgent messages to concerned staff as and when necessary.

g)         Collects and prepares monthly statistics data for the department monthly reports,  drafts  routine  letters  as  and  when  required,  types  all  office correspondence and communications using the PC and fax machine.

h)         Attends department’s operational and safety meetings as secretary, prepares minutes and follows up relevant points with the concerned.

i)          Maintains a follow-up system of work activities for all senior staff in the department and notifies outstanding actions in due time.

j)          Maintains  the  department  centralized  records  system  and  the  materialstraceability system for tracking of material test certificates.

k)         Maintains  the  department  technical  library  and  ensures  availability  ofcatalogues, drawings and reference books and when required.

1)         Organises the receipts, storage and issue of office stationery for all ADGASDas Divisions / Departments.

m)   Processes work orders in SAP for the maintenance of Stores facilities, follows-
up progress actions.

n)         Assists in preparing Job Description for personnel & department organizationchart.

o)         Involves in various aspects such as creating & releasing PR, releasing automaticP.O.’s & maintaining system generated records pertaining to Term ContractMaterials.

p)         Sources quotation from vendors and prepares purchase requisitions for storage equirements.

q)         Assists  in  preparing  documents  for renewal  and retendering of   stores manpower, equipment operators and cranage services term contracts.

r)          Provides leave cover for department’s Office Administrator during his leavea bsence.

s)         Carries out other related or similar duties such as operates and controls the useof the photo stat and fax machine.  Enters / retrieves information from SAP as and when required. Answers telephone and take messages. Maintains adequate supply of stationery and raises requests as and when required
